Terms of Service

These terms apply when you book photography, videography, livestream, studio or content services from Charis Creations Limited, or pay us through this website. Every booked job also has its own signed agreement listing the package, price, dates and deliverables. Where that agreement and these terms differ, your signed agreement applies.

1. Quotes and bookings

• Quotes are valid for 14 days unless stated otherwise.
• A date is only reserved once the booking fee has been received and cleared. Until then it may be booked by another client.
• A date hold without a booking fee lasts 48 hours. Returning Charis clients receive a 14-day hold.

2. Payment for events (weddings, introductions, corporate and conferences)

• A non-refundable booking fee of 50% of the total secures your date.
• At least 70% of the total must be paid no later than one month before the event.
• The balance is due in full at least 2 days before the event. A late payment charge of UGX 200,000 applies if this deadline is missed.

3. Payment for studio sessions

• Your session is confirmed once the session fee is received and cleared.
• Any balance is due on or before the day of the session. We begin once payment is complete.

4. How to pay

• Bank transfer and our Mobile Money merchant codes: no extra charge.
• Online card or Mobile Money payment: processed securely by our payment provider. The provider's processing fee is added at checkout and shown to you before you pay.
• Prices are in Uganda Shillings (UGX) unless your quote says otherwise.

5. Travel, accommodation and meals

• For events more than 100 km from our studio in Namugongo, the client provides accommodation for the crew for the night of the event and the night before.
• Where coverage runs longer than 5 hours, the client provides a meal for the crew at the same time guests are served.

6. On the day

• Please tell us about any change of time, date or venue as early as possible.
• You are responsible for permission to photograph and film at each venue, and for any venue fees.
• Coverage follows the professional judgement of our crew. We cannot guarantee coverage of every person or moment, especially where several things happen at once.

7. Editing and delivery

• We build your photos and films around the requests in your Client Brief. Requests guide our work but artistic interpretation is ours.
• Delivery dates are set in your agreement. One round of reasonable revisions is included. Revision requests must be made within 14 days of delivery, because unedited footage is only kept for 2 weeks. Further changes are charged at our current rates.
• We do not supply unedited raw files.

8. Ownership of the work

Charis Creations keeps the copyright in the photos and films we create. You receive a personal licence to keep, print and share them with family and friends. Commercial use, such as advertising or resale, needs our written agreement. For corporate clients, usage rights are set out in the agreement for that job.

9. Our responsibility

We use professional equipment with backups. We are not liable for losses caused by events beyond our control, such as power or signal failure, extreme weather, or venue restrictions. In any case, our total liability for a job is limited to the amount you paid for that job.
