Privacy Policy

Charis Creations Limited ("Charis Creations", "we", "us") photographs and films some of the most important moments in people's lives. We treat the personal information you share with us with the same care. This policy explains what we collect, why, who we share it with and the choices you have. It is written to meet the Data Protection and Privacy Act, 2019 of Uganda.

What we collect
- Contact details: your name, phone number, email address and physical address.
- Event details: dates, venues, schedules, guest and family names, and the preferences you give us in your Client Brief, so we can plan your coverage.
- Photographs and video of you, your family and your guests, taken while we cover your event or session.
- Payment records: what you have paid, when and how. When you pay online, your card or Mobile Money details are entered on our payment provider's secure page. We never see or store your full card number or PIN.
- Messages you send us by WhatsApp, phone, email or through your client portal.
- Website data: basic, anonymous information about how our website is used, such as pages visited.
Why we use it
- To quote, plan and deliver the services you book with us.
- To send you your agreement, invoices, receipts, reminders and your finished photos and films.
- To keep the financial and tax records the law requires.
- To stay in touch after your event, for example anniversary or birthday greetings. You can ask us to stop at any time.
- To show our work in our portfolio, on social media and in marketing, only where you gave permission in your Client Brief.
Your photos and your permission
Your Client Brief asks whether we may share images from your event, whether we may tag you, and whether there is anything or anyone we must not show. We follow those choices exactly. If you change your mind later, tell us and we will stop using your images in new posts and remove them from our own pages where we can. Images of children are only shared with the permission of a parent or guardian.
Who we share it with
We do not sell your personal information. We share it only where needed to serve you:
- Members of our own crew working on your event, who see only what they need for their role.
- Our payment provider, to process online payments securely.
- Trusted service providers who host our systems, store your files or deliver your galleries, under confidentiality.
- Government or law enforcement bodies, only where the law requires us to.
How we protect it
Your records are kept in secure, password-protected systems. Access is limited by role, so a crew member does not see payment or pricing details they do not need. Our records are backed up so that your memories are not lost.
How long we keep it
We keep client and payment records for as long as the law requires for tax and accounting purposes. We keep a backup of your finished photos and films for 1 year after delivery, so we can help if you lose your copy. Unedited footage is kept for 2 weeks after delivery, which is why revision requests must reach us within 14 days. After that, files may be deleted, so please keep your own backup.
Your rights
Under the Data Protection and Privacy Act, 2019 you may ask us to:
- show you the personal information we hold about you;
- correct anything that is wrong;
- stop sending you greetings or marketing messages;
- withdraw your permission for us to share your images;
- delete your information, where we are not required by law to keep it.
To do any of these, contact us using the details above. We will reply within 7 days. If you are not satisfied with our answer, you may complain to the Personal Data Protection Office of Uganda.
Changes to this policy
If we change this policy, we will update the date at the top of this page. Important changes will be communicated to current clients directly.
